The problem

How it works
Every request runs through the same intelligent pipeline, from the first question to a clear resolution.
Before anything is routed, the system sorts each request by how much work it really needs: a simple question gets answered on the spot, a harder one becomes a tracked Legal Request, and substantive work is promoted to a Matter. It tells "Who reviews contracts?" from "Review this $5M contract," so the important things are never treated as trivial.
Routing answers two questions at once: who can handle it, by matching the request to each person's expertise, and who has room, by assigning to the lightest current load. Open requests count once and matters count double. Ties break by who has waited longest, then alphabetically. If no one is a clear fit, it stays unassigned for an admin rather than forcing a bad match.
Work climbs a ladder with a clean handoff at each step: AI chat handles what it can, a Legal Request is created when a human is needed, and it becomes a Matter when the work is substantive and ongoing. Some escalations are automatic. Attach a document, for example, and the system assumes it needs human eyes rather than letting the bot guess.
Requests move through clear states: open, assigned, waiting on user, on hold, resolved, and closed. People get real-time alerts the moment something is assigned, answered, or reopened, plus a persistent inbox and a daily email digest, so nothing is lost if someone was away.
The escalation ladder
Not every request is the same size, so they should not all be handled the same way. Work moves up only as far as it needs to.
